Responsibilities

  • Social Media Management
    • Social media posts.

    • Maintain each event website throughout the year and all stages of the event.
    • Registration set up and updates.
    • Maintain Spark Conferences’ main website.
  • Event Materials Creation/Design
    • Loops, Agenda, Speaker Biographies, Signages, Letter of Attendance Template, Surveys, and other materials as needed.

The Program Coordinator plays a critical role in the smooth operation of the entire business and is involved in all aspects of event planning and communications with all stakeholders.

Qualifications

  • Post-secondary event planning certification or equivalent experience.
  • 1 to 2 years experience in conference planning.
  • Highly organized and detail-oriented.
  • Excellent time-management skills and ability to manage multiple projects at the same time.
  • Excellent customer service skills.

Responsibilities

  • Venue Related Responsibilities
    • Find venues. Book and attend site visits (as required). Monitor room block utilization to maintain a balance between supply and demand.
    • Review BEOs for accuracy. Help coordinate audio-visual requirements for each conference.
    • Negotiate and book entertainment for events. Help coordinate staff travel.
    • Print and pack all materials for the event.
    • On-site registration for events.
  • Speaker, Panels and Chairs Management Responsibilities
    • Assist with speaker management tasks, including gathering information such as speakers’ biographies, photos, sessions, PowerPoint, and thank-you gifts.
    • Book travel (as required).
    • Help run the Speakers’ Meet and Greet meetings, Panel or Chair meetings.
    • Prepare Chair Package.
  • Sponsorship Management Responsibilities
    • Ensure communications with Sponsors and management of all contract requirements.
  • Delegates Management Responsibilities
    • Respond to all attendee inquiries before the conference.
    • Reply to info mailbox requests and phone calls.
    • Delegate Emails Management.
  • Administration of Budgets
    • Keep track of expenses. Ensure the event budget is on track and flag issues.

    • Onsite event management responsibilities.
  • Marketing or In-kind Partnerships Development
    • Have partnership discussions with different organizations to enhance the overall brand and success of the event.

  • Ensure our speaking platform is inclusive. Make a strategic effort to ensure all stakeholders are represented in our programs.
  • Write marketing copy for each event.
  • Work in conjunction with the Event Business Development Manager to achieve the revenue target of sponsorship while maintaining the educational integrity of the agenda.
  • Assist with speaker management tasks, including gathering information such as speakers’ biographies, photos, sessions, PowerPoint, and thank-you gifts.
  • Help run the Speakers’ Meet and Greet meetings, Panel or Chair meetings.
